Booking Conditions

Please feel free to take time to read and understand the conditions of booking set out below prior to book a trip with us, We strongly recommend that you also read Essential trip information relating to your trip prior to booking to ensure that you understand the itinerary, style and physical demands of the trip you are undertaking.

Tour Booking, Reservation & Deposit

Upon the pro forma invoice deposit of 45% of activity or any other inquired service cost required before the tour or activity. On receipt of your deposit, your booking (tour/activity) will be reserve subjected with availability. Once you receive your confirmation voucher, your reservation is confirmed and accepted by Zote Tours (smc-private) Company Limited.

Final payment is due to Zote Tours (smc-private) Company Limited not later than 30 days prior to arrival. For the last-minute inquiry before the tour date, the full amount will have to be paid after confirmation of the availability is made to the clients. On receipt of your full payment, we will send you all details on tour information, clothing lists, code of conducts for example for Zanzibar and Tanzania in general. Please ensure that you receive the information before you leave on tour.

Method of Payment

You can use your card for online payment or Bank transfers and at times cash at the office will be accepted especially if clients decided to add something on their program and we find it possible so we will accept cash.

Cancellations Policy

Cancellations are only effective on receipt of written notification by emails. If cancellation is made more than 30 days before departure your deposit will be returned to you and you will need to cover for the bank charges and transfer related costs as per bank rates. If your cancellation is made after the due date for full payment of your tour fare, charges will be charged. The scale of charges, expressed as a percentage of the tour prices, is as follows:

More than 30 days – Deposit forfeited (refunded)
29 – 20 days’ notice – 50% Cancellation fee will be charged
19 – 10 days’ notice – 75% Cancellation fee will be charged
9 – 48hrs notice – 100% Cancellation fee will be charged

If clients fail to join a tour or join it after departure or leave it prior to its completion, no fare refund can be made. Clients should feel free to communicate with us on changes of their dates and we will inform them the option on either the dates they proposed or suggest for them the different dates. This has to be done before the 6 weeks of travel for the tour.

Booking Amendments

After your booking has been confirmed, should you wish to make any changes to your itinerary or wish an earlier departure date, we will make every effort to accommodate your requests based on availability. However, there may extra costs involved to accommodate your request. These costs are in addition to the fee quoted to you for your initial safari. Normal cancellation fees apply if you wish to postpone your departure.

Insurance

It is a condition of booking that the sole responsibility lies with the guest to ensure that they carry the correct comprehensive travel and medical insurance which is valid to cover themselves, as well as any dependents or partners for the duration of their trip to Tanzania. All your medical insurance will be used to serve you in case of any emergency and Zote Tours (smc-private) Company Limited, will not be involved with and medical bills or any loss. Guests will be charged directly by the relevant service providers for any emergency services they may require, and may find themselves in a position unable to access such services should they not be carrying the relevant insurance cover. Zote Tours (smc-private) Company Limited, can upon request provide support on getting the service and the clients shall pay for it.

Health

Tropical Disease precautions should be commenced prior to departure. Please consult your doctor for specific advice. If you are a contagious-disease carrier, you must let us know when booking your tour.

Wild Animal & Marine

Please be aware that these safaris may take you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. Neither Zote Tours (smc-private) Company Limited, nor their employees, can be held responsible for any injury or incident on the safari. Please note that most safari camps and lodges in Africa are not fenced. You are insisted to obey the local rules and the guide will always remind you even after his first briefing on this.

Passport and Visas

This is upon the guest to ensure that passports and visas are valid for the countries visited. Zote Tours (smc-private) Company Limited cannot be held liable for any visas, etc. not held by the guests, nor the cost of visas.
Important Note: Travelers are restrict encouraged to apply for online e-visas prior to arrival Zanzibar or Tanzania Mainland.

Passport and Visas

For safety and because space is restricted, baggage in some charter aircraft is restricted to a maximum of 20 kg per person in a soft bag. This includes camera equipment and carry-on baggage. Should guests arrive with excess baggage without prior warning their baggage could be delayed, as we may have to fly the baggage at a later stage at considerable extra cost to you. However, should the guests know in advance that the baggage will exceed the limit; we recommend you book an extra seat for the bags on the aircraft, at an additional cost to them.

Changes of Schedules

Although every effort is made to adhere to schedules it should be borne in mind that the Company reserves the right and in fact is obliged to occasionally change routes and accommodations on safaris as dictated by changing conditions. Such conditions may be brought about by seasonal rainfall on bush tracks, airfields and in game areas, by game migrations from one region to another, or airline or other booking problems, etc.

Refunds

Whilst the Company uses its best endeavors to ensure that all anticipated accommodation is available as planned, there shall be no claim of any nature whatsoever against the Company for a refund either in the whole or part, if any accommodation or excursion is unavailable and a reasonable alternative is not found. If the guest is unable to use any service provided in the itinerary without strong reasons and it’s equal to values of money paid, then there are not refunds due.

Drivers and Other Facilities

For the driver and the vehicle, we would like to inform clients that, the driver will always remind them on specific rules and other important thinks for safety while on tour.

Flights

The Company can book scheduled airline flights to, from and within Africa via a flight consolidator. However, please note that a service fee will apply. We cannot be held responsible for any schedule changes, flight delay or flight cancellations that occur to your flights and that consequently affect your travel arrangements. Before the flight is booked, the clients will be informed of all the important information on the said flight before it is booked. Note that once your tickets purchased you will comply with all the airlines terms and conditions.

Delays

We cannot be held liable for any delays or additional costs incurred as a result of airlines not running to schedule.
